1. Booking Confirmation
A booking is considered confirmed only after receipt of the required advance payment. Once confirmed, cancellation charges may apply as described below.
2. Cancellation by the Customer
- Cancellations must be communicated through our official contact details via call, email, or WhatsApp.
- The date of cancellation request submission will be considered the cancellation date.
Cancellation Charges
- More than 15 days before travel: 10% of total package cost will be deducted.
- 7 to 15 days before travel: 30% of total package cost will be deducted.
- 3 to 6 days before travel: 50% of total package cost will be deducted.
- Less than 72 hours before travel: No refund.
Note: Certain services such as hotel bookings, houseboats, and adventure activities may have separate cancellation policies and could be non-refundable.
3. Cancellation by Valley Tour Mate
In rare cases, we may need to cancel a tour due to weather conditions, road closures, natural events, or operational issues. In such cases, customers will be offered:
- A rescheduled tour date, or
- A full refund of the booking amount.
4. Refund Process
- Approved refunds will be processed within 7 to 14 working days.
- Refunds will be made through the original payment method.
- Bank or payment gateway charges, if any, are non-refundable.
5. No Show Policy
If a customer does not arrive on the travel date without prior cancellation, no refund will be provided.
6. Modification of Bookings
Requests to modify travel dates or services are subject to availability and may involve additional charges.
7. Important Notes
- Refund eligibility depends on supplier policies (hotels, transport, activity operators).
- Peak season bookings may have stricter cancellation rules.
